At Unitrail, we strive to provide high-quality education consultancy services. This Refund and Cancellation Policy outlines the terms and conditions for refunds and cancellations of our services. Please read this policy carefully before making any payment.
By purchasing our services, you acknowledge that you have read, understood, and agree to this policy.
2. Service Categories
Our services are categorized as follows for refund purposes:
Category A: Consultancy Services
One-on-one consultations, counseling sessions, university shortlisting, and general guidance
Category B: Document Services
SOP writing, LOR assistance, CV/Resume preparation, and document editing
Category C: Application Services
University applications, APS application support, and visa application assistance
Category D: Bundle Packages
Comprehensive packages combining multiple services
Category E: Third-Party Services
Blocked account setup, insurance, German language courses, and accommodation bookings
3. Cancellation Policy
3.1 Consultancy Services (Category A)
- 24 hours or more before appointment: 100% refund or free rescheduling
- 12-24 hours before appointment: 50% refund or free rescheduling
- Less than 12 hours before appointment: No refund, rescheduling subject to ₹500 fee
- No-show: No refund or rescheduling
3.2 Document Services (Category B)
- Before work begins: 100% refund minus processing fee (₹500)
- After first draft delivered: 50% refund
- After final draft delivered: No refund
- Revisions: Up to 2 revisions included; additional revisions subject to extra charges
3.3 Application Services (Category C)
- Before application submission: 75% refund minus processing fee
- After application submission: No refund (applications cannot be withdrawn)
- University/Visa rejection: No refund (outcome is determined by third parties)
3.4 Bundle Packages (Category D)
- Within 7 days of purchase (before any service begins): 90% refund
- After any service has commenced: Refund calculated based on utilized services
- Partial usage: Charges for used services deducted at individual service rates (not discounted bundle rate)
3.5 Third-Party Services (Category E)
Services provided by third parties (blocked account providers, insurance companies, language schools, etc.) are subject to their respective refund policies. Unitrail acts as a facilitator and cannot guarantee refunds for third-party services.
Third-party fees are generally non-refundable once processed.
4. Non-Refundable Items
The following are strictly non-refundable:
- University application fees paid to institutions
- APS application fees paid to APS Centre
- Visa application fees paid to embassy/consulate
- Government processing fees
- Third-party service charges (blocked account, insurance, etc.)
- Courier and shipping charges
- Document translation and attestation fees
- Services already fully rendered
5. Refund Process
5.1 How to Request a Refund
To request a refund, please follow these steps:
- Email your refund request to info@unitrail.in
- Include your full name, service details, and payment transaction ID
- Clearly state the reason for the refund request
- Attach any supporting documentation if applicable
5.2 Refund Timeline
- Review Period: Refund requests are reviewed within 5-7 business days
- Approval Notification: You will receive an email confirmation once approved
- Processing Time: Approved refunds are processed within 10-15 business days
- Bank Credit: Refunds to bank accounts/cards may take an additional 5-7 business days depending on your bank
5.3 Refund Method
Refunds will be processed using the same payment method used for the original transaction. In exceptional cases, alternative refund methods may be arranged with prior approval.
6. Special Circumstances
6.1 Force Majeure
In cases of force majeure (natural disasters, pandemics, war, government restrictions, etc.) that prevent service delivery, refunds will be processed on a case-by-case basis. We may offer service postponement or credit for future use.
6.2 Service Quality Issues
If you are dissatisfied with our service quality, please contact us immediately at info@unitrail.in. We will work to resolve the issue through revisions, additional support, or alternative solutions before considering a refund.
6.3 Client-Side Issues
Refunds will not be provided in the following circumstances:
- Failure to provide required documents or information in a timely manner
- Deliberate misrepresentation or false information provided by the client
- Changes in client's personal plans or preferences
- Rejection by university/visa authorities due to client's ineligibility
- Client's failure to follow prescribed guidelines
7. Modification of Services
If you wish to modify or upgrade your service package, please contact us. Modifications may be subject to price differences and availability. Downgrades are treated as partial cancellations and subject to applicable refund policies.
8. Disputes and Resolution
In case of disputes regarding refunds or cancellations:

- Escalate to management if the issue is not resolved within 7 business days
- Both parties agree to attempt amicable resolution before legal action
